Grow Branches Without Being in Every Branch
The reason most Pakistani businesses stay one shop is trust: the owner cannot stand in two places. E-Khata is built so the owner does not have to. Each branch runs its own complete books, head office sees and controls everything, and every rupee and every unit moving between branches is recorded on both sides.
E-Khata Cloud's branch system gives every branch its own full set of books: its own ledgers, stock, customers, staff, and invoice numbering, all under one head office. The head office owns the product catalog, decides exactly what each branch's team may do, watches consolidated stock and profit across every location, and settles inter-branch balances with proper documents. It is how a one-shop business becomes a network without the owner physically present at each counter.

A branch is a real business, not a filter
Each branch keeps its own complete ledgers, stock, customers, and voucher numbering, so its books stand on their own: a branch manager answers for their branch with figures that are entirely theirs. Currency, document design, and the company logo are inherited from head office and cannot drift. One subscription covers the whole group.
- Opening a branch takes one dialog: name it, give it a code for its invoice numbers, done.
- The new branch starts with the full chart of accounts, roles, templates, and a main warehouse ready.
- Choose its starting catalog: everything the company sells, or only the items you send it.
- Deactivate a branch any time: sign-ins stop, it leaves every picker, and its books are kept intact.
How does the owner stay in control from anywhere?
Control in E-Khata is structural, not physical. Branches see nothing of each other unless head office explicitly shares a view. Sharing is always view-only: a branch can be allowed to look at another branch's stock, products, reports, or customers, but changing anything always requires its own login there. Head office owners and admins get automatic access to every branch, and losing the head-office role automatically removes that access everywhere.
- Blind by default: a branch cannot browse its siblings' figures.
- Share data is per-branch and per-topic: stock, products, reports, or customers and suppliers.
- Every grant and every revoke is written to a critical audit log.
- Force logout: one owner-only switch signs every employee out of every device, instantly.
One catalog, owned by head office
The company catalog is the list of products every branch carries. Head office owns what an item is (its name, code, barcode, units, and tax) while each branch owns what it costs and sells for there. Share products to branches in bulk, push your prices down when you want uniformity, and stop sharing an item without touching the stock a branch already holds.
- Branches can request a local product be added to the catalog; head office approves or declines with a note.
- Push prices is explicit and warned: it is the one action that overwrites a branch's own pricing.
- Conflicts (a code already taken at a branch) are surfaced for one-click reconciliation, never silently dropped.
- New branches can start with the full catalog or grow item by item as stock is sent.
Money between branches is settled, not remembered
When stock moves or one branch pays for another, the amounts land in proper Due From Branches and Due To Branches accounts on both sides, with numbered settlement documents when money changes hands. The settlement console shows exactly what each branch owes and is owed, payments allocate to the oldest charges first, and a reversal undoes both sides or neither.
- Branch settlements screen: You owe and Owed to you, with nothing owed meaning exactly that.
- Every settlement posts to both businesses' ledgers in one transaction.
- A reconciliation report proves the two sides agree, pair by pair, down to zero variance.
The whole group on one screen
Consolidated reports roll every branch into one picture: stock across the network, profit and loss merged account by account, catalog coverage per branch, and inter-branch balances. Each report respects permissions, tells you if any branch was omitted from your view, and drills down to the branch that owns the number.
- Consolidated stock and stock valuation, costed by each branch's own method and then rolled up.
- Group profit and loss for any date range.
- Branch balances: who owes whom across the whole network, from either side's own ledger.
Staff scoped to their branch, invited in minutes
Each branch has its own team with its own roles, invited per branch. A counter person at the Faisalabad branch signs into the Faisalabad branch and sees nothing else. Head office can cap what any branch's admins may do, and the caps apply immediately. Switching between businesses and branches is one picker in the header, with each branch indented under its head office.
- Invites, roles, and permissions live per branch, so responsibility is local.
- Head-office caps override local roles: what HQ denies, nobody at the branch can grant back.
- The switcher shows your role at each business and swaps context in one tap.
From one shop to a network
- Open the branchName, code, city. It is provisioned in seconds with books, roles, templates, and a warehouse, inheriting your currency and document design.
- Give it a catalog and stockShare the company catalog (all of it, or item by item), then send opening stock with a tracked transfer.
- Hire locally, scope tightlyInvite the branch team into that branch only. Cap what its admins can do from head office.
- Watch and settle from anywhereConsolidated stock and profit on one screen, and branch balances settled with numbered documents when money moves.
