The Khata Works. Until the Day It Does Not.
A good bahi khata and a careful spreadsheet have run more Pakistani businesses than any software. They fail in predictable places: the second branch, the first bounced cheque, the FBR notice, the customer who disputes a balance, and the afternoon the one person who understands the sheet is not there. This is what changes when the khata moves.
Most businesses that come to E-Khata Cloud are not leaving another product. They are leaving a paper khata, a set of Excel sheets, or both, kept by one trusted person. Those work, and they cost nothing but time, until the business grows past what one head can hold. The table below is honest about where each approach stands, and the sections after it describe what the first month on E-Khata actually looks like for a business coming off paper.
Side by side
| What matters | E-Khata Cloud | Excel / paper khata |
|---|---|---|
| Who can see the balance | Anyone you allow, from any device, including the customer through their own portal link. | The person holding the book or the laptop. |
| When two people bill at once | Both post; stock and ledgers update for both; the audit log shows who did what. | Two versions of the sheet, or one person waiting. |
| Udhar and aging | Running balance per customer, aging buckets, reminders on WhatsApp, a portal the customer can check. | A page per customer; aging worked out by eye; disputes settled by memory. |
| Cheques | A register with every state from received to cleared or bounced, deposits, re-presentation, and the accounting behind each. | A drawer, a diary and a calendar reminder. |
| Stock | Live quantities per warehouse, valued at cost, with reorder alerts and a count that reconciles. | A count on Sunday, and a guess the rest of the week. |
| FBR Digital Invoicing | Built in, reviewed before filing, with the IRN and QR on the invoice. | Manual entry on the FBR portal, invoice by invoice. |
| A second branch | A real business under head office, with transfers, settlements and consolidated reports. | A second book and a phone call every evening. |
| When the person who keeps it is away | Nothing changes; the books are in the system, not in a head. | The business waits. |
| Mistakes | Cancelled and reversed, never erased; an amendment log with a before and after. | Crossed out, or overwritten with no trace. |
| Reports | 71 reports, from a daybook to a balance sheet, in one click. | Whatever someone builds in a formula, when they have time. |
| Cost | Quoted per business in PKR, with setup, migration and support included. | Free, plus the hours, the errors and the one indispensable employee. |

Move to E-Khata Cloud when you have more than one person billing, any credit customers, any cheques, an FBR obligation, or plans for a second location.
Stay on the khata if you are a one-person business with cash sales, no stock to speak of, and no FBR obligation. It is genuinely enough for that.
The first week: your khata, typed once
Products, customers and suppliers go into a spreadsheet, or come out of the one you already have, and import with a preview and an undo. Opening balances go in against the trial balance so day one starts with the udhar that actually exists. Our team sits with you for this. Most businesses are billing on day two.
- Import from your existing sheet; headers are matched forgivingly.
- Opening balances per customer and supplier.
- Setup and migration included in the quote.
The first month: the arguments stop
The customer who says the balance is wrong can be sent the ledger, or given a portal link to see it themselves. The cheque that bounced is a state on a register, with the entries reversed automatically. The stock count matches or the difference is a report, not a suspicion. And the owner reads the daybook on a phone from anywhere.
What the khata will always have
It costs nothing, needs no internet, and the person who keeps it knows the business in their bones. E-Khata keeps working when the internet drops, so the first point is covered, and the third is exactly why we sit with that person during setup: their knowledge becomes the system's, and they stop being the only copy.
