The Screen the Cashier Never Leaves
Billing makes the invoice. The Cash Counter is where the customer pays it. One list of everything outstanding at this branch, one action to collect, with the discount, the drawer expense, the refund and the receipt all handled from the same place, and a running picture of today's cash.
The Cash Counter in E-Khata Cloud is the cashier's settlement screen. It lists every submitted invoice at the cashier's branch that still has a balance, lets the cashier collect cash or bank against one, apply a discount given or record an expense paid from the drawer in the same step, refund or exchange when goods come back, print a receipt for every settlement, and see the day's activity and summary without touching the accounts module. Every action is a proper accounting entry with its own permission key, so the counter can be handed to staff who never see the ledger.

One list: what is unpaid at this branch
The counter opens on the pending list, scoped to the cashier's own branch, sorted so the customer standing in front of them is one search away. Each row shows the invoice, the customer, the total and the balance. Search by number, name or phone, pick the invoice, and the collect panel is ready with the balance filled in.
- Only submitted invoices with an outstanding balance, only for this branch.
- Previous balance on the customer's account shown alongside the invoice, so udhar is settled with eyes open.
- Search by invoice number, customer name or phone.
Collect, discount and drawer expense in one motion
Collecting at the counter is built on the same receive-payment contract the accounts team uses, so a counter receipt and a Money In receipt are the same thing in the books. The counter adds two things the accounts screen does not need: a discount given on this invoice, and an expense paid out of the drawer at settlement time. The amount can even be zero, so a cashier can settle a small remainder as goodwill discount without pretending cash changed hands.
- Cash, bank or cheque against any pending invoice.
- Discount given reduces the outstanding and posts to the discount account.
- Drawer expense posts as an expense against cash, with a reason.
- Part payment leaves the rest on the customer's ledger as udhar.
Refunds and exchanges without opening the accounts module
When goods come back, the counter handles the money side. A refund pays cash back against a receivable, a return refund settles the sales return that was raised, and an exchange nets the returned item against the new one so the customer pays or receives only the difference. Each is a real entry with the right debit and credit, and each needs the refund permission, which a business can withhold from junior cashiers.
- Refund, return refund and exchange as separate actions with separate permission.
- The sales return itself is raised in Sales; the counter settles it.
- Every refund prints a receipt and lands on the customer's ledger.
A receipt for every settlement, and the day at a glance
Every collection, refund and exchange produces a receipt you can print on an 80mm printer or share, tied to the journal entry behind it so it can always be found again. The summary shows cash and bank collected, discounts given and expenses paid today, and the activity list shows every counter action with the cashier's name, so closing the drawer is a comparison, not an argument.
- Receipt per journal entry, printable on 80mm or A5.
- Today's summary: collected by method, discounts, expenses, refunds.
- Today's activity with cashier and time on every row.
Permissions built for a counter staffed by juniors
The counter has its own three permission keys: view, collect and refund. A new cashier can be given view and collect only, so they can take money but not give it back, and they never need access to the accounts module, the chart of accounts or the reports. Discount limits per user cap what a cashier can give away, and every action is on the audit trail under their name.
- sales.cash_counter.view, collect and refund, granted separately.
- Per-user discount limits, enforced at the counter.
- Full audit trail per cashier.
