E-Khata Shaped to the Way Your Shop Works
A cloth shop, a hardware store and a distributor do not fill in the same boxes. E-Khata lets you take off the fields, menu options and product steps you never use, add the columns your trade counts in, and set the result for your whole team, without losing a single entry already made.
Customization in E-Khata Cloud lets each business remove what it never uses and add what its trade needs. In Customize mode you take unused fields off the Daybook and New Product forms, drop transaction types from the Receive and Pay menus, and remove product steps you skip, and an owner can make that layout the one everyone sees. Custom columns with formulas, quick links, one date format, item order and form rules complete the fit.

Customize mode: take off what you never use
Tap Customize on a Daybook form or the New Product form and each removable field shows a small minus. Tap it and the field is gone from your screen, with an Undo in the message. Removed fields collect in a list at the foot of the form, and one tap puts any of them back. Nothing you have typed is lost, and nobody else's screen changes unless you choose it.
- Remove a field from this form only, from similar forms (for example all payment forms), or from every form, with a count of how many forms each choice reaches.
- A field whose value still matters, such as the account money comes from, is removed with your usual choice pinned behind it, so entries post exactly where they did before.
- Fields that must stay, such as Product Name, show a lock and say why.
- Payment method buttons and the Daybook's own headings can be removed the same way.
- Works on a phone as well as a computer.
Shorter menus and a shorter product wizard
The Receive and Pay menus can drop the transaction types your shop never records, such as Took a Loan or Write Off Bad Debt. Removing one hides the doorway, never the record: entries already made stay in the Daybook, the reports and the printed receipts, and can still be opened and amended. The New Product wizard works the same way, so a shop with no online store drops SEO and one that never prints labels drops Barcodes.

- Basic Details and Review & Save always stay, because a product cannot be saved without them.
One layout for everyone, and rules for branches
Someone with the Set for everyone permission can arrange a form and publish it as the business layout, after a confirmation that says how many fields it removes. Staff who arranged their own screen keep theirs. Reset says exactly where it lands: Reset to the business default for a member whose owner has set one, Reset to the E-Khata default otherwise. For a head office that runs its branches as a group in E-Khata, Branch rules pin a field shown or removed, and no branch can change it.
- Set for everyone is its own permission key, separate from ordinary settings.
- Pinning works both ways: branches may not bring a field back, or may not remove it.
- If a rule change later makes a removed field compulsory, E-Khata can bring back that one field on every layout that hid it, without wiping anyone's arrangement.
Columns your trade counts in, calculated for you
Customize Grid adds your own columns to the line grid on invoices and other documents. The Advanced formula builds a column from another one in plain steps, worked left to right like a shop calculator: Suits = Thaan ÷ 3 × 4, so 90 thaan fills 120 suits as you type. Choose the rounding (none, nearest, down or up) and try a number before you save.
- Start from Qty, Price or one of your own number columns, then divide, multiply, add or subtract.
- A value you type over the formula is kept as typed.
- When a bill arrives with the cell empty, for example from BAWA AI or the API, the server fills it from the same formula.
- On document headers, drag your own fields into place and save the layout for every new document of that type.
Quick links, one date format and item order
The quick links in the top bar take you to the pages you open most. Add pages, drag them into order, remove the rest, and an owner can save the set as the default for everyone in the business. Settings, Appearance, Date format sets one pattern for the whole business, such as DD/MM/YYYY or DD-MMM-YYYY, and every screen and printed document follows it. Item Order on Documents keeps lines as entered or sorts them by name, and the order you choose is the order that saves and prints.
- Reset to the business default brings a member's quick links back in line.
- Six date patterns, each shown with a worked example.
- Item order also changes from More, Item Order on any document, and holds for later documents.
Form rules: payment methods and required fields
Choose which payment methods the Daybook's vouchers offer (Cash, Bank Transfer, Cheque, Party Transfer) and a cash-only shop sees one plain label instead of four buttons. Once your default accounts are set, the account picker on payments can shrink to a one-line caption. Required-field rules make the details you rely on compulsory: Require City for customers and vendors, and Brand, Category, Item Code, Barcode, Unit, Description, Image or prices for products.
- Receive Payment, Pay Vendor, Expense and Income follow the voucher method switches.
- Sales documents have their own payment method switches.
- Require City exempts the Walk In Customer, and bulk import still accepts a blank city.
